Changing Your Booking
If You Alter or Change Your Booking
If, after our confirmation has been issued, you wish to change to another of our holidays or change departure date, or make a name change, we will do our utmost to make the changes, provided that notification is received at our offices from the person who completed the online booking form, accompanied by a payment of £10 per person to cover our administration costs. Changes of departure dates from one season to another are not accepted. A change of name made within 28 days of departure will be subject to a charge of £25 per name.
IMPORTANT NOTE A change of lead name or of all names from those on the original booking form will be regarded as a complete cancellation rather than an amendment and the charges shown in Paragraph 4 will apply. It should be noted that in some instances, hotels may enforce their right to regard a change of lead name within the cancellation period as a complete cancellation, particularly at times of high occupation.
If a change of departure date is made within the cancellation period i.e. within 56 days of departure, cancellation charges will be incurred as shown.
If you change the number of persons on the booking, your holiday price will have to be re-calculated e.g. in the case of self catering venues, if your party has reduced in number, you and the remainder of your party may have to pay occupancy supplements (see the price panels for supplements).
If you wish to make a change whilst you are on holiday (e.g. upgrading your accommodation or extending your stay), subject to availability and wherever possible we may agree, and you will pay any extra costs locally. Please remember that changing the length of your stay means that aircraft seats may remain empty and you will have to pay for these. Refunds of unused accommodation are not given should you curtail your holiday.
Representatives and agents cannot change travel plans, cancel arrangements or tickets, make or promise refunds on our behalf or obtain loans or services without our permission.
You, or any member or your party, may cancel your package holiday arrangement at any time providing that the cancellation is made by the person signing the booking form and is communicated to us in writing via the travel agent with whom you booked. As this incurs administrative costs, we will retain your deposit and in addition may apply cancellation charges as follows:-
(Based on the number of days written cancellation is received prior to departure)| Over 42 days | Loss of deposit |
|---|---|
| 29 - 42 days | 50% of holiday cost |
| 15 - 28 days | 70% of holiday cost |
| 1 - 14 days | 90% of holiday cost |
| (Flight only passengers - 100%) | |
| Day of Departure or later | Total holiday cost |
Exceptions to the above:
If the cost of your arrangements is less than our normal deposit of £100, the total cost will be retained by us, irrespective of the date of cancellation. If the cost of your arrangements is between £100 and £200, the cancellation fee will be £100 per person until 28 days before departure when the above percentage rages will apply.
IN ALL CASES THE INSURANCE PREMIUM IS NON-REFUNDABLE
Clients who book flight only arrangements paying in full at the time of booking will, in the event of cancellation, forfeit all monies paid to Palmair save only passenger taxes and air passenger duty.
Note: If the reason for cancellation is covered under the terms of an insurance policy you may be able to reclaim some of these charges.
If We Alter or Change Your Booking
Holiday arrangements are planned many months in advance, and it is unlikely that we will have to make any change to your holiday. However, occasionally changes may have to be made. Most of these changes will be minor, and we will advise your travel agent at the earliest possible date. Flight timings and carriers in the brochure are subject to change as a result of airline procedures.
If a major change occurs - for example, a hotel closes, opens at a later date, or overbooks; the holiday departure date changes, the departure airport changes or a day flight changes to a night flight, we will again advise your travel agent at the earliest possible date, providing there is time before your departure, and you will have the choice of either accepting the change of arrangements or purchasing an alternative holiday from us. Alternatively, you may cancel your holiday and receive a full refund of all monies paid. In the event of us being compelled to offer a hotel of a lower category, or a change of resort area to that booked and confirmed, and if this change is accepted, then compensation* will be paid as per the scale set out below.
| Notification between | Compensation pp | Notification more than 56 days before departure |
|---|---|---|
| 29-56 days | £10 | Nil |
| 8-28 days | £25 | Nil |
| 0-7 days | £50 | Nil |
NOTE: FORCE MAJEURE - Compensation* will not be paid if we are forced to cancel or in any way change your holiday due to war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, adverse weather conditions, technical problems with transport or similar events beyond our control.
We reserve the right in any circumstances to cancel your holiday. However, in no case will we cancel your holiday less than 8 weeks before the scheduled departure date except for reasons of force majeure or failure on your part to pay the final balance. In circumstances where we are unable to provide the holiday booked, we will return to you all monies paid, or offer you an alternative holiday of comparable standard and if a cancellation occurs within 8 weeks of departure, compensation will be paid on the scale set out in Clause 5.
